In Matt's words

What this is

Your organization should spend more time advancing its mission and less time worrying about the books. We provide nonprofit-focused bookkeeping and financial reporting designed to give Executive Directors and Boards clear, reliable financial information.

From fund and grant tracking to budget-vs.-actual reporting and board-ready financial statements, we help you understand where your money is going and make confident decisions about what comes next.

Focus on your mission. We'll help keep the numbers on track.

What that means month to month

The reporting a board actually asks for

Non-profit books answer to more people than a practice's do, and the questions come on a schedule.

Restricted against unrestricted

Money with strings attached tracked apart from money without. The single most common place small organizations get into trouble.

Grant tracking

Spending followed against each award, so a report to a funder is a matter of pulling the numbers rather than reconstructing them.

Budget against actual

Where you are against what the board approved, month by month, while there is still time to do something about a variance.

Board-ready statements

Formatted for people who are not accountants and are reading it the night before the meeting.

Payroll and contractors

Staff, contract help and stipends recorded and classified properly, including where a grant is funding a position.

Ready for the annual

Books kept so that an audit, a review or a Form 990 preparation starts from something orderly.

Why the pricing is separate

Priced on revenue, not transaction count

A practice is priced on how much moves through the books. An organization is priced on annual revenue, because that is the number a board and a grant application already work from, and it is the one that actually tracks how complex the reporting gets.

There is a separate set of packages for non-profits for that reason, rather than one table stretched to cover both.

Working with Matt at Prime Numbers Bookkeeping is easily one of the best decisions I've made for my business. What started as an affordable, one-time cleanup a year ago turned into hiring them full-time. The peace of mind knowing my books are handled every month - without year-end stress - is priceless. Highly recommended!

Matt Fasl has been a huge asset to us at Dynamo Dusty’s Tree Service . He’s one of those rare financial pros who actually takes the time to understand your business and build something around your goals — not just a one-size-fits-all system. He’s incredibly customer-focused, goes above and beyond, and works seamlessly with our other business advisors to make sure everything flows smoothly behind the scenes. Can’t recommend him enough if you want someone who’s sharp, responsive, and genuinely invested in helping your business succeed.

Common questions

From executive directors and boards

Do you prepare our Form 990?

That is a filing your accountant handles. What we do is keep the books through the year so the 990 preparation starts from something orderly rather than a reconstruction, which usually makes it a cheaper and much shorter job.

We have restricted funds and I am not sure they are tracked properly.

That is one of the most common things we find, and it is worth looking at sooner rather than later. Restricted money spent as though it were unrestricted is a real problem with a funder, and the fix is much easier before a grant report is due than after one has gone out.

Can you produce what our board asks for each month?

Yes, and it is worth agreeing the format at the start. Boards vary in what they want and how much detail they read. Once the shape is set it is the same report every month, on the same schedule, ahead of the meeting.

We are small. Is this worth it for us?

Sometimes not monthly, and we will tell you if that is the case. A smaller organization may be better served by a cleanup and a quarterly check-in than a monthly engagement. The packages start at the low end for exactly that reason.
