What we do

Six things, and the one most bookkeepers do not offer.

The bookkeeping itself is table stakes and it should be invisible when it is done properly. What actually changes how a practice runs is the part underneath: knowing what the numbers mean in time to do something about them.

A twenty minute call, not a pitch.

The monthly work

Books that close on time and reports you can read

Most practices need some combination of these. We work out which on the first call, and it is often less than people expect.

Monthly bookkeeping

Transactions categorized, accounts reconciled, and a set of statements at the end of every month that says something true.

  • Bank, card and merchant account reconciliation
  • Profit and loss, balance sheet, cash flow
  • What you owe and what you are owed, kept current
  • Books your CPA does not have to fix in April
Monthly bookkeeping

QuickBooks cleanup and setup

For the practice that has been doing it themselves, or inherited a file from someone who was. Also for the one starting from nothing and wanting it right the first time.

  • Catch-up on months or years of backlog
  • Chart of accounts rebuilt to fit a practice
  • Duplicate and miscategorized entries cleared
  • A new file set up properly from the start
Cleanup and setup

Payroll

Your team paid on time and correctly, with the filing side handled. Including the parts that get practices in trouble.

  • Run payroll on your schedule
  • Payroll tax filings and deposits
  • W-2 and 1099 at year end
  • Contractor against employee, sorted correctly
Payroll

Cash flow forecasting and budgeting

Looking forward rather than back. What the next few months look like on current trends, and what a budget you would actually follow looks like.

  • A forecast built from your real numbers, not a template
  • Budget against actual, month by month
  • The month you are going to be tight, before you are in it

The one most bookkeepers do not offer

Fractional CFO work

A chief financial officer is the person who tells the owner what the numbers mean and what to do about it. Practices at this size rarely have one, because a full-time finance hire does not make sense until long after the questions start.

Fractional means you get that judgment at the scale you actually need it. A standing monthly conversation rather than a full-time salary, built on books we already keep, so nothing has to be explained from scratch before the useful part starts.

What changed this month and why. What the trend says about next quarter. Whether the new chair, the second operatory or the associate hire works on your numbers, before you sign for any of it. Whether to move on something before year end rather than finding out in March that the window closed.

This is the part that changes decisions rather than recording them, and it is the part of the work we would want if we were running the practice.

How it starts

Nothing gets quoted before we have seen the file

  1. A call, not a pitch

Twenty minutes. What you run, how the books are kept now, and what is actually bothering you about them.

  2. we look at the file

A quote given without opening the books is a guess, and guesses get revised once the work starts.

  3. A number in writing

What it costs and what is included. If cleanup is needed first, that is quoted separately so it does not hide inside the monthly.

Working with Matt at Prime Numbers Bookkeeping is easily one of the best decisions I've made for my business. What started as an affordable, one-time cleanup a year ago turned into hiring them full-time. The peace of mind knowing my books are handled every month - without year-end stress - is priceless. Highly recommended!

Matt Fasl has been a huge asset to us at Dynamo Dusty’s Tree Service . He’s one of those rare financial pros who actually takes the time to understand your business and build something around your goals — not just a one-size-fits-all system. He’s incredibly customer-focused, goes above and beyond, and works seamlessly with our other business advisors to make sure everything flows smoothly behind the scenes. Can’t recommend him enough if you want someone who’s sharp, responsive, and genuinely invested in helping your business succeed.

Common questions

Before you get in touch

Do I have to take all of it?

No. Most people start with monthly bookkeeping, or with a cleanup if the books have got behind. Payroll and the forecasting work get added when they are worth adding. We would rather you took the piece you need than a package with things in it you do not.

Do you work in my QuickBooks file, or your own system?

Yours. We work inside your file with our own access, so the file stays yours the whole time. If we ever stop working together you keep everything, with nothing to migrate and no export to request.

What is the difference between bookkeeping and fractional CFO work?

Bookkeeping records what already happened and makes sure the record is accurate. Fractional CFO work is the conversation about what to do next, built on that record. You need the first one to have the second, which is why they are not sold separately here.

How quickly can you start?

That depends on what shape the books are in and what else is in front of us, and we would rather tell you honestly on the call than promise a date here. If there is a filing deadline driving it, say so early and we will tell you straight away whether it is realistic.

Do you only work with practices and non-profits?

Those are where we go deepest and where we are worth the most to you. We take other small businesses too. If your books are straightforward, say so on the call and we will tell you honestly whether you need us monthly or just a cleanup and a check-in.
